User guide: Personal data on the Hartmann Intranet
What is the intranet?
The intranet is an internal communication platform for all shore-based employees of the Hartmann Group. It is offered by Hartmann AG as the holding company of the group of companies.
Access is only possible after prior registration by the employee and activation by IT or personnel departments of a company.
What personal information is collected / stored?
To be able to register on the intranet, an employee receives a self-registration link from the responsible personnel department. Name, company and company contact data must be provided. Concerning the date of birth, the employee decides whether the year of birth may be displayed or not. Further data, such as the position, "about me", "education", "activities" can be provided voluntarily.
In addition, it is desirable, but not necessary, that an employee provides a photo of him- or herself in the profile. The user assures that only photos are used to which no foreign rights exist. The photo can be updated at any time.
There is the possibility to comment on news articles. A comment exists until a user either deletes it actively or until the user profile is deleted.
Is the use of the intranet recorded / saved?
The last log-in of an employee in the intranet is saved. If the user logs on again, the old date is overwritten. Neither the frequency of the visits nor the pages visited are recorded.
If a PDF file is downloaded from the intranet the intranet saves this download (no other file formats).
If an employee leaves the Hartmann Group, the respective HR department deletes the profile and thus not only the personal data and comments but also the profile photo as well as the intranet usage data.
How is the personnel data maintained?
The companies of the Hartmann Group manage their employees independently. Accordingly, the HR departments have backend access, which they can use exclusively to manage their employees on the intranet (activate, change authorizations, delete profiles).

Purpose and legal basis for collection and processing
Your data will be processed for the following purposes:
- User administration on the basis of Art. 6 para. 1 lit. f to enable communication across legal forms on the Hartmann Group Intranet,
- Recording of knowledge of internal regulations and instructions on the basis of Art. 6 para. 1 lit. f for tracking that employees have been informed accordingly.
Recipient of your data
The recipients of your data are the internal departments responsible for corporate communications and IT of the Hartmann Group, intranet users and, if applicable, service providers working on behalf of Hartmann AG within the meaning of Art. 28 EU-GDPR. No transfer to third countries or international organisations is envisaged.
Storage of your data
Your data will only be stored for the above-mentioned purpose. The data will be deleted immediately after the purpose has been fulfilled.
Your rights
You have the right to obtain information about your personal data. You can also request the correction of incorrect data. In addition, under certain conditions, you have the right to have your data deleted, the right to restrict data processing and the right to data transferability.
Your data will be processed on the basis of legal regulations. Only in exceptional cases do we need your consent. In these cases you have the right to revoke your consent for future processing.
